TERMS AND CONDITIONS 12.8.2024 – 1.6.2025, BADMINTON, HELSINKI, ADULT COACHING

BY PARTICIPATING IN SMASH RY'S COACHING SESSION, THE PLAYER/PARENT OR GUARDIAN AGREES AND COMMITS TO FOLLOWING THE BELOW COACHING TERMS.

 

PRACTICE TIMES AND INQUIRIES

 

About a week before the start of the season, we will send an email newsletter to all participants with group placements, available at TennisClub under Coaching / My Groups. Players who couldn't join initially will receive a separate email notification.

 

COACHING LOCATION AND SEASON

Coaching sessions will be held at Smash Center, Varikkotie 4 (approximately 500 meters from Itäkeskus metro station and 15 minutes from Rautatientori). The coaching season runs from Mon 12.8.2024 to Sun 1.6.2025. Reformed summer groups will practice from 2.–19.6.2025. Participation in summer groups or absence will be noted on the application form.

 

By registering for Smash adult coaching, the player agrees to attend the entire indoor season 2024-2025, continuing in the same groups through the spring without separate notice. Groups may be adjusted as needed (based on coach's decision regarding player's level), but no player will be moved to a new group without consultation and notice.

 

COACHING LOCATION = COACHING SESSION

Each weekly practice session attended by the player corresponds to one coaching session. For example, if a player practices once a week, they have one coaching session. Similarly, a player practicing three times a week has three coaching sessions, and so on.

 

DISCONTINUATION OF GROUP DURING SEASON

Smash ry reserves the right to discontinue coaching groups. The possible discontinuation of a group will be communicated to players at least 21 days before the group's last coaching session. Players from discontinued groups will be relocated to other groups if possible.

 

TRAINING ON PUBLIC HOLIDAYS

Coaching sessions will typically be held on all public holidays except Christmas (23.12.2024-1.1.2025), Easter (18.4.-21.4.2025), and May Day (1.5.2025). Coaching will be provided on school autumn break, Independence Day (6.12.), Epiphany (6.1.), and Ascension Day (29.5.).

Smash ry reserves the right to make group changes during public holidays and the school ski holiday period (15.2. – 22.2.2025).

 

BILLING

Billing is based on the spot allocated in the coaching group and the number of coaching sessions attended since joining - not individual attendances. Autumn coaching sessions will be billed in two installments and spring sessions in two installments. Invoices will be sent to the email address provided in the registration form (for communication and billing purposes). Participation in coaching requires prior settlement of coaching fees.

Billing occurs at the end of each period.

Payments for adult coaching can be made using the ePassi sports benefit. Other sports benefits are not accepted as payment for coaching organized by Smash ry.

The season fee is composed of billing periods (Note: see also "Withdrawal from coaching mid-season"):

 

Period 1: 12.8.2024 - 13.10.2024

Period 2: 14.10.2024 - 22.12.2024

Period 3: 2.1.2025 - 16.3.2025

Period 4: 17.3.2025 – 1.6.2025

 

TEST SESSIONS AND BILLING

When a new player attends a level test for a group, the test is free if it's determined that the group is unsuitable for the player and no other suitable group spots are available. However, if the player's level allows for full participation in the training hour and a regular spot in the coaching is agreed after the level test, the first test session will also be billed.

 

MEMBERSHIP

Participation in coaching requires membership in Smash ry. Participants are enrolled as members of Smash ry if they are not already members. Participants in coaching do not need to apply separately for membership.

New adult participants pay half of the 2024 membership fee, €22.50 (full year €45), with the first autumn coaching fee, and agree to follow Smash ry's coaching and billing terms. The 2025 membership fee will be billed according to the club's standard practice, and no part of it will be refunded even if the participant terminates coaching during 2025.

Membership is ongoing until formally terminated in writing either with coaching termination using the coaching termination form, by email to smash@smash.fi, or by post to Smash ry, Varikkotie 4, 00900 Helsinki. The resigning member is obligated to pay the membership fee for that year. Termination of coaching does not automatically end the club membership, but upon coaching termination, one can also indicate whether they do not wish to continue membership for the following year. Membership is valid until the end of the calendar year following the termination.

Termination requires formal submission using the coaching termination form. Verbal or written notifications to coaches or cashiers are not sufficient.

 

PLAYER CONTACT INFORMATION CHANGES

Players are responsible for maintaining their name and contact information. Changes can be made primarily by logging into the TennisClub system's "My Information" tab. Changes can also be reported by emailing smash@smash.fi.

 

ILLNESS, INJURY, ABSENCES FROM COACHING, AND COMPENSATION SYSTEM

Absence of at least 4 consecutive weeks due to illness or injury must be reported with a medical certificate to the responsible coach Julia Vedenoja at julia.vedenoja@smash.fi. Such absences of at least 4 weeks will be considered in billing with a deductible of two weeks from the notification date. Two deductible sessions will be noted for the player, who can attempt to find substitute sessions. Individual absences are not considered in billing.

 

If an absence extends beyond 4 weeks:

- The player must pay the coaching fee from 4 weeks onwards if they wish to retain their spot.

- The player can also withdraw from coaching completely upon sending the medical certificate (allowing the spot to be offered to others), paying only the two-week deductible. Upon recovery, the player can attempt to return to coaching groups via the adult coaching responsible coach's waiting list.

Badminton adult coaching uses a compensation system, part of the TennisClub system. More information on the compensation system and its operation can be found on the Compensation Hour System page. A maximum of 5 sessions can be stored during the fall season and 6 during the spring season. Up to 2 absences can be stored for June groups. Absences must be entered into the compensation system in advance, at least 12 hours before the session. Compensation sessions can be reserved using the compensation system.

Accumulated compensation session balances can be used throughout the 2024-2025 season. Balances reset before the 2025-2026 season. Smash ry is not obligated to compensate unused coaching sessions or provide monetary refunds for them.

COACHING TERMINATION MID-SEASON

Termination of coaching mid-season must be done in writing by filling out the coaching termination form. Termination takes effect after the current billing period ends.

Termination of coaching does not automatically terminate the Smash ry membership, but when terminating coaching, one can also indicate whether they do not wish to continue membership for the following year.

If the player retains at least one coaching session for the season, notifying the responsible coach via email is sufficient for termination of other suspended coaching spots (ending billing at the end of that billing period).

Billing periods and last termination days for each billing period:

Period 1: 12.8.2024 - 13.10.2024 (last withdrawal date for period 1 is 31.7.2024)

Period 2: 14.10.2024 - 22.12.2024 (withdrawal from period 2 must be done by 16.9.2024)

Period 3: 2.1.2025 - 16.3.2025 (withdrawal from period 3 must be done by 2.12.2024)

Period 4: 17.3.2025 – 1.6.2025 (withdrawal from period 4 must be done by 17.2.2025)

PHOTOGRAPHY

If a player does not wish their photographs to be used on Smash's website or publications, they must inform Smash ry at smash@smash.fi or update their TennisClub profile to "NO" under photo consent.

 

ELECTRONIC NEWSLETTERS AND COMMUNICATION

By registering for coaching, the player's email will be added to Smash ry's electronic newsletter and communications distribution list unless explicitly declined by the player. Electronic newsletters and communications, alongside the website, are important communication channels for Smash ry's coaching, so it is essential to provide an email address that is checked regularly. Providing a phone number also helps in cases like sudden coach absences.

 

HEALTH AND INSURANCE

Each player must inform the coach about their health condition if it may affect their ability to participate fully in all exercises. Each player must obtain appropriate insurance: Smash ry does not insure players participating in exercises.

 

SPECIAL NEEDS

In group coaching, we cannot accommodate individual player needs that require special assistance or an assistant.

 

COACH ABSENCES

Groups are primarily coached by the assigned coach. In the coach's absence, another Smash ry coach will substitute. If a substitute coach cannot be arranged and players are informed of the coach's absence with equipment provided, participants receive a compensation system balance corresponding to the duration of the missed session, which they can use in other groups. In such cases, the session will still be billed.

 

BEHAVIOR

Players must treat their fellow group players and coach with respect. Swearing, throwing rackets, or any inappropriate behavior is prohibited. If a player's actions cause damage to the court surface or other property, they are responsible for compensating for the damage.

 

The club reserves the right to deny a player's participation in coaching if disruptive behavior persists despite intervention. The first instance of disruptive behavior results in a warning, the second in a written warning, and subsequent occurrences lead to exclusion from coaching for the current season (fall/spring/summer). In cases of particularly severe individual behavior, the club reserves the right to terminate the coaching contract immediately for a specific or indefinite period. Coaching fees will not be refunded for such periods.

 

DISRUPTION OF ACTIVITIES

If we must abruptly interrupt a coaching session due to reasons beyond the club's control (e.g., power outage), the coaching session will not be compensated monetarily. Interrupted sessions will either be compensated by adding to the compensation system balance (in applicable sports) or by arranging substitute sessions at a notified time.

 

LANGUAGE OF INSTRUCTION

Coaching instruction is in Finnish. If the coaching language in the group is English, this will be indicated separately.

 

CHANGES TO COACHING TERMS

Smash ry reserves the right to change coaching terms, including mid-season. Changes will be communicated on the website and via a collective notice to all coaching participants.
